Trayton Furniture is a multinational company and one of the largest furniture manufacturers and retailers in China. Its main businesses are the design, branding, manufacturing and distribution of upholstered furniture, retailing of furniture and lifestyle products, and trading and services.

Project Background

Trayton has a wide overseas market and a mature business development system, and its import and export business occupies a large part of its main business. This case uses RPA technology to improve the productivity of the company against the background of various documentary information involved in the import and export business.

Business Scenarios

This case contains two business scenarios: data collection and printing.

Scenario1 Data Collection

Requirement: The import and export business involves four documents from different sources, which need to be organized into specified folders, two of which are in different folders in different locations, and the other two need to be downloaded from the website.

Pain point: At present, business personnel can only copy and paste manually in each folder and download them one by one on the website, which is a large amount of data, time-consuming and prone to errors, and it is difficult to check after errors.

Scenario2 Data Printing

Requirement: After finishing the documents, the documents need to be printed in batches.

Pain point: At present, the documents can only be printed manually by business personnel, which is a large volume and time-consuming.The data collection scenario uses an unattended robot, which automatically collects data once a week and stores it in a designated directory.

The data printing scenario is triggered by human on-demand, so the customer is provided with a manned robot that can print the data whenever needed.

Document processing

We have two documents that are generated by other business systems and put under the shared directory. The robot can look up the corresponding information from the shared directory according to the invoice information configured by the user and copy them to the specified folder.

Web operation and file download

The other two documents need to be downloaded through the electronic port website. The robot can simulate a human being and log into the relevant business website for data query and download operation.

PDF Processing

Some documents need to add watermarks according to some business rules, and the robot is able to process them quickly.

Execution tracking

We record the execution processing of each process using an Excel file to form an execution record tracking sheet, which allows customers to clearly see how the robot is performing.

Data Printing

After collecting the relevant information, another process is dedicated to data printing. Customers can fill in the invoice information that needs to be printed into Excel, and the robot will automatically read the data, go to the corresponding location to find the documents that need to be printed, and then call the printer for automatic printing of the documents.
